PRIVACY POLICY

Who owns the data in Ekklesiasys?

At all times, you retain ownership of all data that you provide to us for importing, in addition to any data you enter or upload yourself into Ekklesiasys. You have control over the user accounts that can access Ekklesiasys, and it is your responsibility to ensure that those usernames/passwords are kept safe and secure, and are only granted to people you trust.

Can I export my data from within Ekklesiasys?

Yes, much of the data that you enter into Ekklesiasys can be exported from within the “Export” feature within each module. In addition to this, we provide a “Reports” section within many modules that allows you to visualise, export and print much of the data we are unable to export in a meaningful format.

What access does Ekklesiasys have to your account?

We have the ability to access your account through a secure master login, which gives us Admin rights within your account. If ever a change is made to any data within your account from one of the team at Ekklesiasys, the record will have a note that it was modified by "Ekklesiasys", along with the date and time the change was made.

We may access your account for one of the following reasons:

  1. You have informed us that there is a problem with your account and we need to access your account to diagnose the problem.
  2. Our automated bug tracking system has flagged up your account as having had a problem and we are unable to reproduce the bug through our internal testing systems.
  3. We also monitor account usage and patterns of activity, such as when an account was last accessed and how much data you are using Ekklesiasys to keep track of. With this data, we are able to better understand and develop the most used features of Ekklesiasys, and also ensure that the system’s security is maintained and that our servers are able to cope with the demand.

What personal information does Ekklesiasys hold on me?

When you sign up, you provide your name and contact details, along with basic information on your church, such as its name. We may use this information to:

  1. Contact you during and after the trial period to gather feedback regarding your Ekklesiasys experience.
  2. Maintain our own accounts, including our monthly billing system.
  3. Email you details of new features we have added to Ekklesiasys.
  4. Correcting and updating your personal information

You are able to see the personal information we hold on each Ekklesiasys account holder from within the Administrator module within your Ekklesiasys account.

If you no longer have an Ekklesiasys account, you can correct your personal information by contacting us through the Ekklesiasys website (www.ekklesiasys.com).

If you wish to request a copy of the personal information we hold about you, you can contact us through the Ekklesiasys website.

How secure is my data in Ekklesiasys?

Maintaining the security of your data is one of our highest priorities, and to this end, all access to Ekklesiasys is over an SSL (https://) connection, which provides 256-bit military grade encryption to ensure that all data in transit between your web browser and Ekklesiasys is fully encrypted.

Where we are required to store any usernames or passwords for third-party integrations, such as social media or communication channels, we will always encrypt these details before they are stored on our servers.

Once we have received any data and stored it on our servers, we make commercially reasonable efforts to ensure its security on our system. To this end, we have chosen to host our Ekklesiasys servers in a data centre in the United States of America that meets some of the strictest of industry security requirements, and is classified as a Tier 2 data centre.

Unfortunately, no data transmission over the Internet can be guaranteed to be 100% secure, so whilst we strive to protect your personal information, unfortunately we cannot warrant the security of any information you transmit to us.

What about cookies within Ekklesiasys?

We DO NOT use cookies in Ekklesiasys.

What happens if I cancel my Ekklesiasys subscription?

If you choose to cancel, your Ekklesiasys account will be immediately removed and cease to operate. All data held within the account will be permanently removed. Due to the nature of our incremental backup system, it may be the case that the data that was previously held within your account will exist on our servers for up to 30 days after your account is deleted. After this period, all traces of data from your account will have been permanently deleted.

We retain historical billing and account information for accounting and statistical purposes. We are required to retain this information by law, and will endeavour not to retain any unnecessary data.

Will Ekklesiasys ever share my data with others?

We reserve the right to fully cooperate with law enforcement officers who provide the necessary documentation to gain access to any of our servers and the data held on them. We will have no legal liability for any such disclosure of your data.

We will not pass on your personal information or the details of any data held within your Ekklesiasys account to any third party unless otherwise required by law to do so.
